Policy assistant for HR with exact citations
A policy-aware assistant that answers employee questions from the current HR policies and cites the exact paragraph, with role-based access and versioned documents.
The problem
HR answered the same questions about leave, working time and benefits over and over, from a set of policies that changed several times a year. Employees searched old PDFs and got outdated answers.
What we built
We indexed the policy corpus with version and validity dates, built retrieval that respects who is asking (role, location, contract type) and made the assistant answer only with a cited passage. When the policies do not cover a question, it says so and hands over to HR instead of guessing.
What changed
Employees get an answer with the paragraph it came from, day or night. HR sees which questions come up most and which policies are unclear. Repetitive tickets went down, and answers stay consistent with the current policy version.
Outcomes
- Every answer cites the policy paragraph it rests on
- Role- and location-aware answers from versioned policies
- Hands over to HR when the policies are silent
